Automating an insurance broker's work

Policies, property and vehicle schedules, claims history and quotes from several insurers, each in a different layout. I show how to collect data from client documents, catch gaps, compare quote terms and prepare a renewal, and which other processes in a brokerage can be handed over to automation.

Main scenario

From client documents to a ready renewal

The broker retypes data from policies and schedules into requests and then compares quotes in a spreadsheet, clause by clause. With several hundred policies in the portfolio, some renewals start too late.

01 →
Email / PDF / scans

Client documents

The client sends policies, vehicle or property schedules, claims history and company details, often as scans and spreadsheets in different layouts.

02 →
AI + CRM

Data collection

AI extracts insured items and sums insured, periods, cover, deductibles and loss history, and fills in the client record in the CRM.

03 →
Rules for each risk

Gap check

The system checks what is missing for a quote request for the given risk and sends the client a short list of questions. The answers complete the record.

04 →
AI + policy wordings

Comparing quote terms

Insurers' quotes go into one table: premium, sums insured, limits, excesses, exclusions and clauses, with references to the policy wording.

05
CRM / email

Preparing the renewal

Before the policy ends, the broker receives a package: up-to-date client data, claims history, a request to insurers and a comparison of quotes for the recommendation.

In practice · example scenario

Renewing a fleet policy for 42 vehicles

60 days before the policy ends, the system asks the client for an up-to-date vehicle schedule and compares it with the policy: three cars have been sold, five added, and two are missing values. The client gets two questions, and after the reply the request goes to five insurers. The broker receives a table of quotes showing differences in own-damage limits and exclusions and prepares a recommendation for the client.

What else can be automated in a brokerage?

01–03

Clients and needs

Insurance distribution rules require establishing the client's needs and documenting the recommendation. Documentation and client data can be maintained automatically.

01

Client needs analysis and documentation

Today

The needs questionnaire is filled in by hand for every policy, and its data is retyped into requests and recommendations. During an inspection, it is hard to find the complete set of documents.

After automation

The system prepares a questionnaire pre-filled with client data, and once completed it creates the needs analysis document and saves it with the policy. The broker's recommendation refers to the same analysis.

Client data → Needs questionnaire → Analysis document → Policy file
02

Onboarding a new client

Today

The broker's power of attorney, company details, property schedules and existing policies are collected over a series of emails. Some documents arrive weeks later.

After automation

The new client receives a form and a list of documents to upload. The system pulls company details from registers, sends reminders about gaps and creates a client record with the end dates of current policies.

Form → Register data → Power of attorney → Client record
03

Client assistant

Today

Clients ask about instalment dates or claim status, or request a certificate of insurance for a tender. The broker answers emails instead of analysing risks.

After automation

A chatbot or email assistant answers based on CRM data: instalment dates, policy cover, claim status. It sends certificates automatically and passes questions that need advice to the broker.

Customer question → CRM and policies → Answer / certificate → Broker
04–06

Quotes and policies

Every insurer has its own forms, policy wordings and quote layouts. Retyping data and comparing clauses is work that AI can prepare.

04

Quote requests to multiple insurers

Today

The same client data is entered into several insurers' forms, each with a different layout. A request to five insurers takes several hours.

After automation

From the client record, the system prepares requests in the formats required by each insurer, attaches schedules and claims history and sends them to the selected insurers. Replies come back to one case.

Client record → Insurer forms → Sending → Quotes in one case
05

Checking the policy after issue

Today

An issued policy sometimes differs from the accepted quote: a different sum insured, a missing clause, an error in vehicle data. This only comes to light when there is a claim.

After automation

When the policy is received, AI compares it with the accepted quote and client data: sums insured, limits, clauses, period and subject of insurance. Differences go to the broker with a ready correction request to the insurer.

Policy → Accepted quote → Comparison → Correction request
06

Changes to policy wordings and product terms

Today

Insurers change their policy wordings, and the broker needs to know what has changed in exclusions and limits. Comparing two versions of several dozen pages takes hours.

After automation

AI compares the new version of the policy wording with the previous one and points out changes in definitions, exclusions, limits and the insured's obligations, with section numbers. The broker reviews the summary and sees which clients are affected.

New policy wording → Version comparison → List of changes → Affected clients
07–09

Renewals and portfolio

Most of the work in a brokerage comes back every year: renewals, instalments and changes to the insured items.

07

Renewal calendar

Today

Policy end dates are in the CRM, but preparing a renewal starts when the broker remembers the client. With a large portfolio, some renewals are done in a rush.

After automation

90, 60 and 30 days before the policy ends, the system creates tasks, asks the client for up-to-date data and launches quote requests. Every week, the broker sees a list of renewals with the stage of each one.

Policy end → Tasks at 90 / 60 / 30 days → Up-to-date data → Quote requests
08

Premium instalments and reminders

Today

The client forgets an instalment, and the insurer sends a demand. The broker finds out about the problem when cover is already at risk.

After automation

The system knows the instalment schedule of every policy, reminds the client before the due date and checks payment information from the insurer. Unpaid instalments go to the broker before the matter becomes serious.

Instalment schedule → Reminder → Payment status → Broker alert
09

Mid-term changes: vehicles, locations, property

Today

The client buys new cars or opens a warehouse and reports it by email, sometimes weeks later. Additional cover and additions to the fleet policy are handled by hand.

After automation

The client reports a change through a form or email, AI identifies the vehicle or location and prepares the notification to the insurer. The system tracks confirmation and updates the schedule on the policy.

Client notification → Change recognition → Notification to insurer → Up-to-date schedule
10–12

Claims and settlements

Claims handling and settlements with insurers require tracking deadlines and documents. These are ideal tasks for automation.

10

Reporting and managing claims

Today

The client describes the loss by email, the broker asks for documents and forwards the claim. Status is checked by phone with the loss adjuster.

After automation

The client reports a claim through a form with a list of documents for that type of loss. The system passes the complete claim to the insurer, tracks deadlines, including the 30 days for payment from notification, and keeps the client informed of progress.

Damage form → Document list → Service request → Deadlines and status
11

Commission reconciliation with insurers

Today

Commission statements from insurers arrive in different formats. Checking that commission was calculated on every paid instalment is done only occasionally.

After automation

Commission statements are imported automatically and compared with policies and paid instalments in the CRM. Missing or understated commissions go onto a list for follow-up with the insurer.

Commission statement → Policies and instalments → Comparison → List for follow-up
12

Loss ratio report for the client

Today

The client's loss ratio is calculated by hand before renewal, based on emails from insurers. There are no arguments for premium negotiations.

After automation

The system collects claims and payout data for each client and policy, calculates the loss ratio and prepares a report for the client. The same report goes into the quote request at renewal.

Claims and payouts → Loss ratio → Customer report → Request at renewal
A day after implementation

What does a day at a brokerage look like after implementation?

An example of a brokerage that connected brokers' inboxes, the CRM, a renewal calendar and settlements with insurers. Brokers focus on risk analysis and client conversations.

In the morning

Overnight client documents have been read, and gaps are waiting in questions to clients.

During the day

Insurers' quotes go into comparison tables, and the broker prepares recommendations.

After the policy is issued

The system compares the policy with the quote and saves it in the CRM with the instalment schedule.

Every week

List of renewals for the next 90 days, unpaid instalments and overdue claims.

Every quarter

Clients receive a loss ratio report, and the brokerage a commission statement for follow-up.

Principles

What principles does the automation follow?

01

The recommendation belongs to the broker

AI collects data and sets out quote terms side by side. The broker prepares the risk assessment, choice of cover and recommendation for the client.

02

Your system stays

I connect the automation to the broker system or CRM, email and insurer portals you already use, via API or file import.

03

Client data under control

Workflows run on servers in the EU and only have access to the data they need. For particularly sensitive data, such as health data in group insurance, the model can run on the brokerage's own server.

04

Start with one process

We start with the process that burdens the team the most and expand the automation in stages once the first one proves itself in daily work.

FAQ

Frequently asked questions

Can AI choose the best quote by itself?

No. AI sets out quote terms in one table and points out differences in sums insured, limits, excesses and exclusions. The choice and recommendation require an assessment of the client's needs, so the broker prepares them.

Can the system read policies and wordings from different insurers?

Yes. AI reads policies, quotes and policy wordings in PDF, including in different layouts, and the comparison gives references to specific sections. The broker can check every clause at the source.

How is client data protected?

The automation only has access to the data needed for a given process, runs on servers in the EU, and every operation is logged. Particularly sensitive data can be processed by a model running on the brokerage's own server.

Where should we start?

With the renewal calendar and renewal preparation. This process comes back every year for every policy and quickly shows the time saved. We add further use cases, such as quote comparison or claims, in stages.

Let's test it on renewals from your portfolio.
