Private AI in practice: use cases for companies and law firms

For law firms, accounting firms, manufacturers, healthcare and financial companies whose data cannot go to public AI services because of GDPR, professional secrecy or NDAs. The model runs on your server or on a dedicated instance in Poland.

Main scenario

From audit to a working assistant

I run the implementation in stages. The first assistant on selected documents is usually working before we connect further systems.

01 →
Workshop

Audit

We map data sources (file servers, ERP, CRM, email) and establish who has access to what and which processes bring the most benefit.

02 →
GPU · open-source model

Server and model

A GPU server in your company or a dedicated instance in a Polish data centre. We choose an open model, e.g. Llama, Mistral or Bielik for Polish.

03 →
Local index

Knowledge base

Company documents are indexed locally, keeping the permissions from Active Directory or Microsoft 365. Everyone sees only what they have access to.

04 →
Browser / Teams

Internal assistant

A chat that answers based on company documents and gives the source with every answer so it can be checked.

05 →
n8n on-premise

Automations

Workflows on the same infrastructure handle invoices, emails, contracts and reports without sending data to external services.

06
Monitoring

Maintenance

Monitoring, query logs, model updates and team training. You know who asked what and where each answer came from.

In practice · example scenario

A manufacturing company, 80 people

The assistant answers questions about ISO procedures, technical documentation and order history, always pointing to the source document. The sales team prepares quotes based on previous contracts and price lists. The model and index run on a server in the company's own server room, so no document leaves the infrastructure.

Example for lawyers

Private AI in a law firm

Legal professional privilege calls for great care before pasting case files into public AI tools. A model running on the firm's own server lets lawyers use AI when working on client documents.

K1

Searching the firm's own briefs and opinions

Today

A lawyer looks for a similar case in folders and asks colleagues whether anyone has already written an opinion on the topic. Good precedents get lost in the archive.

With private AI

The assistant searches the firm's archive: briefs, opinions, contracts and notes. It points to similar cases with links to the documents, respecting access rights to matters and clients.

Lawyer's question → Archive index → Matter permissions → Documents with sources
K2 Professional secrecy

Contract review and due diligence

Today

Trainee lawyers read hundreds of contracts in a data room and copy clauses into a table by hand. The work takes weeks, and things are easy to miss.

With private AI

The model extracts specified clauses from contracts, e.g. change of control, contractual penalties, non-compete and termination periods, into a table with page references. A lawyer verifies the results and assesses the risks.

Data room → OCR + analysis → Clause table → Lawyer verification
K3

Draft pleadings and case file summaries

Today

Summarising extensive case files or producing a first draft of a pleading takes hours, even though much of it follows a repeatable structure.

With private AI

The assistant prepares a case file summary with a chronology of events and a first draft of the pleading on the firm's template. The lawyer edits and signs it, and the model never sends anything by itself.

Case files → Chronology → Draft on the firm's template → Lawyer's edit
In practice · example scenario

Due diligence of a company before acquisition

The firm gets access to a data room with several hundred of the company's contracts. The assistant on the firm's server extracts change of control clauses, contractual penalties and termination periods from each contract into one table with page references. The team verifies the results and focuses on assessing risks for the report. The client's documents are not sent to any external service.

More use cases

What else does a private AI implementation cover?

01–03

Security and access

Private AI only makes sense when access control is at least as good as in your current systems.

01

Roles and permissions from the company directory

Today

Employees paste documents into public AI chats because they have no other tool. The company doesn't know what data has gone outside.

With private AI

The assistant uses permissions from Active Directory or Microsoft 365. HR sees HR documents, sales reps their own contracts, and management the reports.

SSO login → Groups and roles → Source filtering → Answer
02 GDPR

Anonymising personal data

Today

Documents containing personal data must not go to tools without a data processing agreement and control over processing.

With private AI

Before analysis, the system can mask national ID numbers (PESEL), account numbers, addresses and names. Processing takes place entirely on the company's infrastructure.

Document → Personal data detection → Masking → Analysis
03

Full query audit

Today

When using public AI tools, there is no record of who asked what and on what basis a decision was made.

With private AI

Every query, the sources used and the answer are logged on the company's server. An administrator can review and export them for audits.

Request → Sources → Answer → Audit log
04–06

Documents

The greatest value lies in documents that the company does not want to and cannot send outside.

04

Contract review

Today

Before signing a contract, someone has to read it in full and compare it with the terms the company usually accepts.

With private AI

The assistant compares the contract with the company's standards and flags deviations: liability, penalties, payment terms, governing law. The responsible person makes the decision.

Contract → Comparison with standard → List of deviations → Decision
05

Comparing document versions

Today

The other party sends back an amended contract without tracked changes. It has to be read again from scratch.

With private AI

The system compares versions, shows all changes and briefly describes what they mean, e.g. a shifted deadline or a changed liability cap.

Version A and B → Differences → Description of changes → Comment
06

OCR of scans and the archive

Today

Old documents are scans without text. They cannot be searched or used in the knowledge base.

With private AI

Local OCR turns scans into searchable text and adds them to the index with the date, document type and counterparty.

Scan → Local OCR → Metadata → Index
07–09

Integrations

The model on the company's server connects to the systems already in place, without moving data to a new cloud.

07

ERP and CRM

Today

Answering a question about a customer's history requires checking several systems and exporting to Excel.

With private AI

The assistant pulls data from the ERP and CRM via API and answers in one place: orders, complaints, commercial terms, open receivables.

Question → ERP + CRM → Summary → Answer with sources
08

SharePoint, drives and email

Today

Company knowledge sits in folders, email threads and attachments that only their author knows about.

With private AI

Selected libraries, drives and mailboxes are indexed with permissions preserved. New documents are added to the index automatically.

SharePoint / drive → Email → Synchronisation → Knowledge base
09 KSeF

Invoices and KSeF

Today

Purchase invoices from KSeF have to be described and assigned to projects or accounts by hand.

With private AI

An n8n workflow downloads invoices from KSeF, and the local model suggests a description and assignment. The accountant approves, and the data never leaves the server.

KSeF → Local model → Suggested description → Approval
10–12

Regulatory compliance

The implementation covers not only technology but also the rules for how the team uses AI.

10 GDPR

GDPR and data processing agreements

Today

Using external AI services requires analysing where and by whom data is processed.

With private AI

With an on-premise implementation, data is processed on the company's infrastructure. I document data flows for the record of processing activities.

Data map → Local processing → Documentation → Record of processing activities
11 AI Act

AI Act

Today

Companies don't know whether their AI use cases are subject to new obligations and how to document them.

With private AI

At the start, we describe each use case, its purpose and risk level. For internal use cases, we prepare documentation and AI literacy training.

Use cases → Risk assessment → Documentation → Team training
12

AI use policy

Today

There are no rules on what may be pasted into AI tools and who is responsible for the output.

With private AI

We prepare a policy: what data can be processed, who approves outputs, how to report errors. The assistant reminds users of the rules in the interface.

Rules → Roles and responsibilities → Course → Quarterly review
What stays with the company

What principles does private AI follow?

01

Your data stays with you

The model, document index and logs run on your infrastructure. Nothing is sent to external AI providers.

02

Ownership of the model and implementation

You use open models and tools. The implementation belongs to the company and does not depend on a single vendor.

03

No fee per query

The cost is hardware or an instance plus maintenance, not a subscription charged per token or per user.

04

A person makes the decisions

AI prepares answers, summaries and drafts. An employee approves them and is responsible for them.

FAQ

Frequently asked questions

Is a local model as good as ChatGPT?

For work on company documents, i.e. searching, summarising and extracting data, open models give very good results. We test the choice of model on your documents before buying hardware.

What hardware is needed?

It depends on the number of users and the size of the model. For a small team, one server with a GPU is enough. The alternative is a dedicated instance in a Polish data centre.

Can a law firm use AI with client files?

With a model running on the firm's own infrastructure, documents are not passed to third parties. The rules for using AI are worth setting out in an internal policy and aligning with the requirements of the bar association.

Where should we start?

With one set of documents and one group of users, e.g. internal procedures or the contract archive. After a few weeks, you know how the team uses the assistant, and we add further sources.

Let's see which documents are worth connecting first.
