Examples of mobile apps for businesses

Service technicians, sales reps, drivers and site managers work in the field, while documents and systems stay in the office. I show examples of phone apps that take work to where it happens, even without signal.

Main scenario

A sales rep app from day plan to order

A sales rep visits a dozen or more customers a day. They write orders in a notebook or in Excel and check prices and stock by calling the office.

01 →
CRM

Day plan

A list of the day's visits with the route, priorities and customers who haven't been visited for a while.

02 →
CRM + ERP

Visit preparation

Order history, open receivables, complaints and agreements from the last visit in one view.

03 →
Offline

Catalogue and customer prices

A catalogue with the customer's prices and discounts plus stock levels, available even without signal.

04 →
On-screen signature

Order on the spot

The sales rep places the order together with the customer, who confirms it with a signature and receives a confirmation by email.

05 →
Voice → text

Visit note

A short voice note is turned into agreements and tasks for the CRM.

06
ERP + CRM

Synchronisation

The order goes to the ERP, and notes and tasks to the CRM, as soon as the phone has signal.

In practice · example scenario

A food products distributor

Sales reps serve shops across several regions. Orders from visits reach the ERP on the day of the visit, not after returning to the office. Before each visit, the sales rep sees overdue payments and previous agreements, and the sales manager sees the plan and completed visits for the whole team.

What mobile apps can be built?

01–03

Field work

Apps for people who spend most of the day away from the office.

01

Stocktaking and warehouse

Today

Stocktaking means printouts, a pen and days of retyping results into the system.

With the app

The employee scans barcodes or QR codes with the phone camera, enters quantities and sees discrepancies in real time. Results go to the ERP when finished.

Code scan → Quantity → Differences → ERP
02

Inspections, audits and handovers

Today

Health and safety, quality and works acceptance checklists are on paper, and photos sit in the phone's gallery.

With the app

A checklist in the app with photos attached to items, location and signature. Non-conformities automatically create tasks for correction.

Checklist → Photos → Non-conformities → Tasks
03

Drivers and deliveries

Today

The driver confirms delivery on a paper delivery note, and the office learns about problems with a delay.

With the app

The driver has the route and delivery documents and confirms receipt with a signature and photo. Damage and delays are reported immediately, and the customer receives a notification.

Route → Delivery → Signature and photo → Customer notification
04–06

Sales

Apps that give the sales rep data and tools at the customer's site.

04

Route and visit planning

Today

Sales reps plan their own routes, and some customers go unvisited for a long time because no one checks.

With the app

The app suggests a visit plan based on location, customer potential and the date of the last visit. The manager sees plan completion and customers skipped in a given month.

Customers in CRM → Priorities → Route plan → Plan completion
05

Voice notes to CRM

Today

After visits, the sales rep updates the CRM in the evening, or not at all.

With the app

The sales rep records a short note after the meeting. AI transcribes it, extracts agreements and tasks and prepares a CRM entry for approval.

Recording → Transcription → Agreements and tasks → CRM entry
06

Document photos with OCR

Today

Signed contracts and customer documents reach the office when the sales rep returns, or as photos in a messaging app.

With the app

The sales rep takes a photo in the app. OCR reads the data, and the document is assigned to the customer and saved in the repository.

Photo → OCR → Assignment to customer → Repository
07–09

For customers

Apps that build ongoing contact with customers and speed up service.

07

Issue reports with photos

Today

The customer describes a fault over the phone, and the service team goes out without knowing which parts to bring.

With the app

The customer reports a fault in the app with a photo and the equipment number scanned from the rating plate. AI pre-classifies the problem, and the service team plans the visit with the right parts.

Fault photo → Equipment number → Classification → Visit plan
08

Loyalty programme and bookings

Today

Loyalty cards are on paper, and bookings are taken by phone.

With the app

An app with a loyalty card, purchase history, bookings and offers tailored to the customer. Notifications remind them of their appointment.

Booking → Visit → Points → Quote
09

Order status and push notifications

Today

Customers call to ask when they will receive their order or when the service will be ready.

With the app

The customer sees the status of their order or job and gets a push notification with every change, with documents to download.

Status change → Push → Documents → Contact
10–12

For employees

Internal apps for teams that don't sit at a computer.

10

Working time records

Today

Working time on building sites and at customers' premises is recorded on paper, and the settlement is prepared by hand.

With the app

The employee records the start and end of work on a job, optionally with location. The data goes to HR and job costing.

Start / stop → Order → Manager approval → HR and payroll
11

Requests and internal communication

Today

Leave requests, advances and announcements circulate on paper or in messaging groups.

With the app

The employee submits a request in the app, and the manager approves it on their phone. Announcements reach everyone with a read confirmation.

Request → Approval → HR → Confirmation
12

Procedures and training on the phone

Today

Procedures are in binders at the office, and new employees learn by watching others.

With the app

Instructions, videos and short tests in the app. The employee asks the AI assistant about a procedure and gets an answer with the source, even at the workstation.

Procedure → Question to the assistant → Answer with source → Test
Principles

How do I work on an app?

01

Designed for field work

Large buttons, one-handed use, offline mode and synchronisation once signal returns.

02

One app for iOS and Android

I build cross-platform apps, so one codebase runs on both systems.

03

Integration with your systems

The app reads and writes data in the ERP, CRM and KSeF instead of creating a separate database.

04

Device security

Company login, data encryption and remote sign-out if a phone is lost.

FAQ

Frequently asked questions

Mobile app or web app?

A web app is enough when users mainly browse and fill in forms. A mobile app is better when you need the camera, a code scanner, offline work, location or push notifications.

Does the app have to be in the App Store and Google Play?

No. Internal apps can be distributed through company device management (MDM). Customer apps are published in the stores.

Does it work without internet?

Yes, if the process requires it. The data needed for work is stored on the phone, and changes sync once signal returns.

Where should we start?

With one process that currently requires paper or a phone call to the office, such as a visit report. We add further features after the first few weeks of use.
