Property management automation

Residents report issues by phone, email and messaging apps, and each fault is someone else's responsibility. I show how to assign reports to a property, establish responsibility, commission the repair and track the deadline, and which other property management processes can be handed over to automation.

Main scenario

From a resident's report to a closed repair

A property manager looks after dozens of buildings, and every report requires working out what it concerns, who pays and who repairs. Cases get lost in emails, and residents call because they don't know what's happening.

01 →
Phone / app / email

Resident report

A resident reports a fault via the app, a form, email or phone, often with a photo and a short description like “there's a leak in the basement”.

02 →
AI + property database

Assignment to property

AI identifies the building, stairwell, unit or common area, the fault category and urgency. Reports about the same fault from several people are merged into one case.

03 →
Contracts + regulations

Responsibility check

The system checks whether the repair is the responsibility of the owners' association, the unit owner, the tenant, the developer under statutory warranty or a company with a service contract.

04 →
Contractor database

Contractor order

The order goes to the right contractor with a description, photos, address and access information. Repairs above a set amount wait for the manager's approval.

05
Schedule + deadlines

Deadline tracking

The system tracks response and repair deadlines, reminds the contractor, keeps the resident informed of progress and closes the case once completion is confirmed.

In practice · example scenario

A leak in the underground car park

Within an hour, three residents report water in the car park, each through a different channel. The system merges the reports into one case, assigns it to the building and sees that the building is still under the developer's statutory warranty. The developer receives the report with a response deadline, the plumbing company under contract gets an order to secure the leak, and residents receive one update on what is happening.

More use cases

What else can be automated in property management?

01–03

Properties and inspections

Every building has its own inspections, service contracts and documentation. The manager is responsible for deadlines that the system can track by itself.

01

Mandatory periodic inspections

Today

Polish building law requires inspections once a year, e.g. of gas installations and chimney flues, and every five years, e.g. of electrical installations, and in large buildings also twice a year. Deadlines for dozens of buildings are kept in a spreadsheet.

After automation

The system calculates deadlines for each building, books the inspection with a contractor in advance, informs residents of the visit and saves the report in the building's records. Recommendations from the report become separate tasks with deadlines.

Building register → Inspection deadlines → Order + notice → Report and recommendations
02

Service contracts and equipment maintenance

Today

Lifts, garage doors, fire protection systems and heat substations have separate contracts and maintenance schedules. An expired contract is noticed when the equipment stops working.

After automation

All contracts and equipment are in one register. The system sends reminders about maintenance and testing, checks that the contractor has sent the report and, before the contract ends, prepares a summary for the renewal discussion.

Contract register → Maintenance deadlines → Report check → Contract end
03

Building documentation in one place

Today

Reports, repair photos, warranties and entries in the building logbook are scattered across emails and binders. They are hard to collect during an inspection or when the manager changes.

After automation

Every closed case, report and invoice goes automatically into the building's file, organised by installation and date. The manager sees the history of every building element and warranty deadlines.

Closed case → Report + photos → Building file → History and warranties
04–06

Residents and tenants

Residents call most often when they don't know what's going on. Information about works, balances and dates can be sent automatically.

04

Notices to residents

Today

Notices about water shut-offs, stairwell works or inspections are pinned on the noticeboard or sent to the whole association, including people they don't concern.

After automation

A notice goes only to residents of the relevant building or stairwell, by email, SMS or in the app. For works requiring access to units, residents choose a convenient slot from a list.

Planned works → Choosing recipients → SMS / email / app → Access slots
05

Resident assistant

Today

The manager's office receives the same questions: what is my balance, how much is the monthly charge, when is the inspection, what's happening with my report.

After automation

A chatbot on the website, in the app or on WhatsApp answers based on data from the system, e.g. the unit's balance, report status and regulations. For matters requiring a decision, it passes the conversation to the manager with a summary.

Resident question → Unit data + regulations → Answer → Property manager
06

Rentals: leases, rent indexation and unit handovers

Today

Lease end dates, rent indexation dates and deposit settlements are recorded in a spreadsheet. The handover report is done on paper, without photos.

After automation

The system sends reminders about lease end dates and indexation dates, calculates the new rent according to the lease terms and prepares an addendum. The handover report is created on a phone with photos and meter readings and goes to the tenant and owner.

Lease agreement → Deadlines and indexation → Addendum → Handover report
07–09

Owners' associations and resolutions

Meetings, votes, contractor quotes and correspondence are administrative work that repeats in every owners' association.

07

Meetings and voting on resolutions

Today

Preparing the annual meeting, collecting individual votes and counting them by ownership share takes the manager weeks. Errors in the result are easy to make.

After automation

The system prepares notices and draft resolutions, sends them to owners, collects votes and counts them by share in the common property. The association board sees the result and missing votes in real time.

Draft resolution → Notices → Vote collection → Result by share
08

Contractor quotes and comparison for the board

Today

For a roof or facade renovation, the manager collects quotes by email and retypes them into a table. Every quote has a different scope and layout.

After automation

AI reads the quotes, compares scope, price, timeline and warranty in one table and flags differences in the scope of work. The association board receives a clear summary for its decision.

Contractor quotes → AI extraction → Comparison table → Board decision
09

Correspondence and letters

Today

Letters from authorities, residents and suppliers land in one inbox. Response deadlines are easy to miss.

After automation

AI identifies the sender, building and subject of the letter, sets a response deadline and drafts a reply based on the documentation. The manager edits and sends it, and the system tracks the deadline.

Letter → Building and subject → Draft reply → Deadline
10–12

Billing and finance

Contractor invoices, residents' payments and utility settlements are data that can be linked automatically for each building.

10 KSeF

Invoices from contractors and utility suppliers from KSeF

Today

Invoices arrive in different inboxes. Someone has to work out which building they concern, whether the work was ordered and who approves it.

After automation

Invoices are downloaded from KSeF, assigned to a building and cost category and linked to the order. An invoice without an order or with an amount higher than the order goes to the manager, and matching ones go to the association board for approval.

KSeF → Building and cost → Order → Approval
11

Payments, arrears and reminders

Today

Residents' payments are matched to units by hand, especially when someone pays from a different account or with an incomplete reference. Arrears reminders are sent irregularly.

After automation

Payments are assigned to units by individual account number, reference and amount. Residents in arrears receive a reminder with their balance, and once a set threshold is exceeded, the case goes to the manager.

Bank statement → Matching to unit → Balance → Reminder
12

Utility settlement

Today

Water meter and heat allocator readings are collected from several sources, and the settlement is prepared in a spreadsheet. Unusual consumption, such as a leak, only shows up in the annual settlement.

After automation

Readings are downloaded automatically and compared with supplier invoices and the unit's history. The system prepares settlements for residents and immediately flags units with unusually high consumption.

Readings → Supplier invoices → Unit settlement → Unusual consumption
A day after implementation

What does a property manager's day look like after implementation?

An example of a management company that connected report intake, its property database, contractors, the bank and KSeF. Managers focus on decisions and discussions with association boards.

In the morning

Overnight reports are assigned to buildings, responsibility is checked and orders are with contractors.

During the day

Residents receive updates on repair progress, and the chatbot answers balance questions.

After the repair

The report and photos go into the building's file, and the contractor's invoice waits for approval.

Every week

The manager receives a list of overdue cases and payment arrears in each association.

Every month

Schedule of inspections and expiring contracts for the coming weeks.

Principles

What principles does the automation follow?

01

The manager decides

The automation assigns, orders and reminds according to rules. Costs above a set threshold and disputed cases are always approved by a person.

02

Your system stays

I connect the automation to the property management software, bank, email and accounting software you already use, via API, file import or KSeF.

03

Residents' data under control

Workflows run on servers in the EU, and each contractor and resident sees only the data of their own case. Every operation is logged.

04

Start with one process

We start with the process that burdens the team the most and expand the automation in stages once the first one proves itself in daily work.

FAQ

Frequently asked questions

Do residents have to install an app?

No. Reports can be received by email, through a website form, WhatsApp or by phone via a voice bot. An app is convenient but not required, and all channels feed into one queue.

How does the system know who is responsible for a repair?

From rules written down based on contracts, regulations, association resolutions and statutory and contractual warranty periods for each building. Ambiguous cases go to the manager with a suggestion, and their decision refines the rules.

Does it work with dozens of owners' associations?

Yes. Each association and each building has its own rules, contractors, approval thresholds and reports. The manager sees all cases together or separately for each association.

Where should we start?

With receiving and assigning reports. This process affects every building and quickly reduces the number of calls to the office. We add further use cases, such as inspections or invoices, in stages.

Let's test it on reports from your buildings.
